Responsibilities

  • Organize and manage College-wide social, educational, entertainment, and fundraising events. May provide direction and assistance to support departmental events aimed at external constituents or assist in planning of on-site conferences.
  • Coordinate public relations and communications for assigned events in conjunction with Communication Specialist, Development Officer, and other Dean’s staff members.
  • Solicit and follow up with vendors, negotiate prices, and prepare budget reports for event-related expenses. Work to maximize event impact while keeping expenses within or under budget. Insures invoices and vendors are paid on time.
  • Responsible for set up and break down of events. May recruit volunteers, supervise an intern or OPS employees from time to time assisting with event execution.
  • Update event calendars and record event invitations and attendance. Plan and execute alumni outreach events outside Tallahassee.
  • Serves as College of Fine Arts representative at monthly meetings. Occasionally assist with coordinating and representing College of Fine Arts at University sponsored events and activities. Proactively communicate with alumni about engagement opportunities. Gather alumni news for promotion to interested parties. Record substantive contact alumni constituents in internal database. Notify community of College events that may be of interest.
  • This position may have to travel to off campus locations to include picking up supplies, attending events and distributing rack cards. Attendance at assigned after hours and weekend events is required; limited travel inside Tallahassee may be required.

Qualifications

  • A bachelor’s degree and two years’ experience or a combination of post high school education and experience equal to six years is required.
  • A demonstrated ability to communicate effectively verbally and in writing is required, as is knowledge of the principles and practices of event planning and public relations.
  • Ability to establish and maintain effective working relationships and perform multiple work assignments simultaneously.
  • Experience using Microsoft Office, Word, Excel, PowerPoint, and Outlook or comparable software is required.
  • Must have a valid Florida or Georgia drivers’ license or the ability to obtain.

Preferred

Candidates with a strong customer service orientation, project planning, and mass mailing experience are preferred, as are applicants with experience training and directing the work of others, the ability to present in front of groups and experience editing and copywriting.

Anticipated Salary Range

Low to Mid $30K.

Pay Plan

This is an A&P (Administrative and Professional) position.

Schedule

Schedule is M-F, 8-5. unless working events after hours.
